The position reports to the Operations Assistant and provides administrative support to the Operations Manager.

Health and Safety Responsibilities

• Support the development, implementation and improvement of occupational health and safety policies, procedures and programs.
• Coordinate hazard identification, job and field risk assessments, corrective actions and follow-up.
• Support incident and near-miss reporting, investigation and documentation.
• Maintain organized safety records, training records, inspection documentation and action tracking.
• Coordinate or support employee orientation, safety training and field safety communications.
• Support safety committee activities and follow up on actions from meetings, inspections and reported concerns.
• Assist with contractor, client and project-specific safety requirements.
• Support safety planning for remote operations and field deployments.
• Coordinate with the aviation Safety Management System within the responsibilities assigned to this role.
• Monitor applicable occupational health and safety requirements and support compliant company practices.
• Deliver safety orientations and training on topics such as WHMIS, personal protective equipment and emergency procedures.
• Assist with return-to-work and modified-duty programs in collaboration with HR and management.
• Track and analyze safety performance metrics and prepare reports for management.

Administration Responsibilities

• Provide administrative support to the Operations Manager.
• Manage emails, phone calls and general inquiries.
• Schedule meetings and maintain calendars.
• Assist with data entry, filing and document organization.
• Prepare and format reports and correspondence.
• Help coordinate day-to-day operational tasks and follow-up actions.
• Maintain office supplies and assist with ordering.
• Support communication between team members and departments.
• Assist with meeting preparation and take brief meeting notes as required.
• Assist with payroll administration and accounting records using company systems.
• Perform other general administrative tasks as assigned.
• Exercise discretion and maintain confidentiality when handling sensitive corporate information and communicating with staff, clients and vendors.

Qualifications and Experience

• At least 12 months of relevant occupational health and safety experience, or relevant education or training.
• Working knowledge of hazard assessment, incident investigation, corrective-action processes and safety documentation.
• Experience with Microsoft Office, including Excel.
• Experience with accounting software and payroll administration.
• Familiarity with Safety Management Systems.
• Knowledge of dangerous goods requirements for air and ground transport.
• Strong organization, attention to detail and follow-through.
• Clear written and verbal communication and the ability to work cooperatively with operational teams.
• Valid driver’s licence and willingness to travel and work at remote field locations.
• Legally entitled to work in Canada.

Preferred Experience

• Aviation or remote-field operations experience.
• Experience with QuickBooks.

Certification and Operational Training

• Valid driver’s licence.
• First aid / first responder training.
• Transportation of Dangerous Goods, WHMIS, Safety Management System and Flight Watch training are provided.
• Review of the Taiga Employee Policy Manual is part of onboarding.

The Right Fit

You are comfortable moving between policy and practice: asking good questions, working with operational teams, keeping documentation organized and following issues through to completion. You can balance safety coordination with administrative priorities and communicate clearly with people in the office and in the field.

Compensation
